Fellowship Institutions/Programs: How a Match Works

New to the NRMP Match? We Need Some Information!

If your program is new to the NRMP Matching Program, please take a moment to complete the appropriate form listed below. NRMP staff will take the information you provide, create a record in the web-based Registration, Ranking, and Results (R3) system, and get your program added to the appropriate Match.

The NRMP Specialties Matching Service® (SMS®) encompasses multiple Fellowship Matches representing more than 50 subspecialties. Each SMS Match maintains its own schedules of dates.

To be eligible to offer positions through an SMS Match, a program must meet at least one of the following criteria:

  1. accredited by the ACGME or another entity deemed acceptable by NRMP, or
  2. affiliated with an ACGME-accredited program in the core discipline, or
  3. lead to certification or have endorsement and oversight by a board recognized by the American Board of Medical Specialties (ABMS®).

Institutional officials and program staff must complete the following steps to participate in an SMS Match:

1. Register for the Match and activate programs

Program directors and institutional officials of Match-participating programs will receive an email when the Match opens providing either a registration token for new users or the username for returning users. The institutional official must register for the Match in NRMP’s Registration, Ranking, and Results® (R3®) system and activate the institution’s programs for Match participation. New programs can be added to the Match, and non-participating programs can be deactivated so that no Match fee will be charged. The program director and coordinator, if applicable, also must complete registration process.

2. Verify quota and make any program changes

Program directors must review and make any changes to their program’s quota, which is the number of positions the NRMP will attempt to fill in the Match. All quota changes must be entered by the Quota Change Deadline and approved by the institutional official. The program director can also create program tracks, add a program coordinator to assist in the Match process, add reversions so that unfilled positions can be donated to another program or program track, and update the program’s public contact information.

3.  Enter and certify a rank order list

After completing interviews, the program director or coordinator must enter a rank order list of applicants in the R3® system. Each SMS Match has its own Rank Order List Deadline. The rank order list must be certified by the deadline to be used when the matching algorithm is processed. Only program directors can certify rank order lists.

4. Match Day!

On Match Day for each SMS Match, institution and program users can log in to the R3® system at 12:00 p.m. ET to learn if all positions were filled, access the Confidential Roster of Program’s Matched Applicants and other Match reports, and, if necessary, view the Unmatched Applicants report. A List of Unfilled Programs also is available for applicants who do not match.
